How to Calculate Work Hours — The Method

Hours = (End − Start) − Break ÷ 60

Convert both clock times to minutes past midnight, subtract start from end (adding 24 hours first if the shift crosses midnight), subtract any unpaid break, then divide by 60 for decimal hours. Example: 9:00 AM to 5:30 PM with a 30-minute unpaid lunch = (17.5 − 9) hours − 0.5 = 8.0 hours. Multiply by your hourly rate for gross pay. Payroll systems sometimes report time in "tenths" (8.0, 8.1, 8.2) or quarter-hours (8.0, 8.25) — the decimal readout above rounds to two decimals, which is what most payroll software expects.

Pro Tips for Hour Tracking

• Decimal vs HH:MM: payroll wants decimals (8.25), humans read HH:MM (8:15). This calculator shows both — never multiply 8:15 by your rate directly, it's 8.25 hours, not 8.15.
• Overtime rules vary: 40 hours/week at 1.5× is the US federal baseline, but some states require daily overtime (over 8 hrs/day) and rules differ by role and country. Treat the OT estimate as a check, not gospel.
• Paid vs unpaid breaks: only deduct breaks that are genuinely unpaid — a paid 15-minute rest break stays in your total.
• Overnight shifts: the hours-between tool detects them automatically (end before start = crosses midnight), and the weekly grid handles any in/out order the same way.

If your end time is earlier than your start time (10 PM → 6 AM), the tool detects it's an overnight shift and adds 24 hours before subtracting — correctly returning 8 hours instead of a negative number. In the weekly grid this is automatic; in Hours Between, tick "End is next day" or let auto-detect handle it.

The 24-hour clock: hours run 0000 to 2359 with no AM/PM — 1 PM is 1300, midnight is 0000. It's standard in hospitals, aviation, the military and many scheduling systems. The Military Time tab converts either direction and includes a full reference table.

In the US, hours over 40 in a workweek are typically paid at 1.5× your regular rate (some states add daily OT rules). Tick the overtime flag, enter your rate, and the calculator splits regular vs OT hours and estimates gross pay at 1.5× — verify against your employer's specific policy.

Payroll uses decimal hours: 15 minutes is 0.25 hours, so 8:15 becomes 8.25. Some systems round to tenths or quarter-hours. Always use the decimal figure from this calculator when multiplying by your pay rate — multiplying by the clock number 8.15 would underpay you.
